Important information for session chairs
- Please arrive in the meeting room 15 minutes before the session starts. The chair is responsible for running the session for both in person and remote participants.
- All talks are being livestreamed over zoom from a laptop with a wired ethernet connection for bandwidth considerations.
- Speakers must use the laptop provided for their talk. Disconnecting the room laptop will interrupt the zoom stream of the session.
- Prior to the session, check to see that all the talks in the session are on the session computer and open them to test they work.
- Welcome the participants to the session at the beginning and remind speakers and participants that the DNP meeting adheres to the APS Code of Conduct, and they are to follow it throughout the meeting.
- Invited talks are 36 minutes (30+6) and contributed talks are 12 minutes (10+2). Mini-symposia include an invited talk and contributed talks.
- Give 5 minute and 1 minute warnings for invited talks; give a 2 minute warning for contributed talks.
- Take care to keep the session on time to allow participants to move from session to session.
- If a speaker is absent or an abstract is withdrawn, open discussion from a previous talk or amongst speakers may continue but the session should otherwise be paused until the next talk.
- Please make sure speakers use the microphone provided for best sound quality to both the in-person and virtual participants.
- Please repeat questions asked by the audience or in the zoom chat so that both the in-person and zoom audience can hear.
- Virtual participants are muted by default. Be sure to check the zoom chat for questions from the zoom audience. The chair should read questions rather than unmuting virtual participants.
- If there are any virtual talks in your session, you may need to unmute the presenters. Please mute again before the next talk starts.
- Talks are not being recorded and all uploaded material will be deleted immediately after the meeting.
- A view of the speaker is being broadcast from the laptop camera. Standing in front of the podium will make the speaker best visible to the zoom audience.
